Cancellation Policy – Established Clients

We understand that inadvertently missing appointments can happen; however, we must consider how these missed appointments impact other patients, many of whom are sick, and need to receive timely care.

To be fair to all our patients, the following policy is in place for established clients:

  • Heartfelt Hospital requires a minimum of 24-hour prior notice for appointments that need to be canceled or rescheduled. You can cancel/reschedule by calling us at (503) 406-1803 or by sending an email to [email protected]
  • If we do not receive adequate notice of cancellation or rescheduling, a cancellation fee will be applied to your account and must be paid before rescheduling.
  • We ask that you arrive on time for your appointment. Please call to advise us if you are running late so we can determine if there is enough time to see your pet or if your appointment needs to be rescheduled. (Late appointments are subject to a cancellation fee).
  • Subsequent missed appointments will result in a deposit fee that will need to be paid before any future appointments can be scheduled.

Cancellation Policy – New Clients

To be fair to all our patients, the following policy is in place for new clients:

  • All new clients when scheduling an appointment will be required to pay a deposit of 50% of the anticipated visit fee. When you show for your appointment, the deposit will be applied to the charges incurred. Should you need to cancel your appointment and contact us a minimum of 48-hours prior, then a refund will be honored. Should you miss your appointment, the deposit is forfeited to the hospital.
